Privacy Policy
Paracon Consultants Corp. (“Paracon”, “we”, “us”, or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit paracon.ca (the “Site”), contact us, subscribe to our newsletter, book a consultation, access our client portal, or otherwise communicate with us (together, the “Services”).
This Privacy Policy is written for a Canada-based business and is intended to align with Canadian privacy principles (including PIPEDA). It also includes additional disclosures for individuals located in the UK/EU/EEA.

A) Information you provide to us
Depending on how you interact with the Services, we may collect:
Contact information: name, email address, phone number, company name, role/title
Inquiry and project details: your message, requirements, project scope, timelines, and any other details you choose to share (including any files you provide)
Newsletter details: your email address and subscription preferences
Consultation booking details: information you submit through our booking workflow (for example, your name, email, company, and details entered in booking questions)
Communications: emails, messages, and related correspondence you have with us
B) Client portal and invoice information
If you use our client portal (including invoice viewing), we may collect and store:
Account/profile information: name, email address, phone number, and other profile fields you can view or update
Authentication and security data: login events, timestamps, device/technical data, and related security logs (where available)
Invoice and billing records stored on our website: invoice identifiers, line items, amounts, taxes, payment status, notes, and client-related references associated with invoices
We generate and manage invoices on our website, which means invoices and related billing records are stored within our Site’s systems.

C) Payments
If you pay an invoice online.
Payment details (for example, card or bank details) according to the payment method you use.
We do not store full payment card numbers on our website.
We may receive and store non-sensitive payment-related information, such as payment status, timestamps, and transaction/reference IDs, for reconciliation, support, and recordkeeping.

D) Meeting recordings (with consent)
In some cases, we may record meetings (audio and/or video) only with the consent of attendees. When we record, we may collect:
audio/video of attendees
meeting chat content (if applicable)
shared screens or materials discussed during the meeting
If you do not consent to recording, tell us at the start of the meeting (or in advance), and we will not record or we will stop recording.
E) Sensitive information
We ask that you do not submit sensitive personal information (for example, government identification numbers, financial account details, health information, biometric data, passwords/authentication secrets, or similar sensitive data) through public website forms or email unless we specifically request it and provide a secure method to share it.
If a project requires us to handle sensitive information, we will take reasonable steps to protect it, limit access to those who need it, and we may require specific safeguards or secure transfer methods. In many cases, these requirements will be governed by applicable client agreements (for example, confidentiality terms and/or a data processing addendum where appropriate).
F) Information we collect automatically (website usage)
When you visit the Site, we may automatically collect:
Device and technical information: IP address, browser type, device type, operating system, approximate location (city/region), referring pages, and timestamps
Usage information: pages viewed, links clicked, and interactions with the Site

manage your subscription preferences and unsubscribe requests
E) Portfolio, case studies, and marketing
We may showcase our work for portfolio, marketing, and business development purposes, including on our website, proposals, presentations, and social media. This may include referencing a client name and/or logo and a high-level description of the services provided and the type of outcomes achieved.
We do not publish or disclose confidential information or real client data as part of marketing content. This includes, without limitation: personal data of end users/customers, private datasets, credentials/secrets, non-public financial information, and other sensitive or proprietary materials. Where screenshots or examples are used, we aim to use demo data, redaction, or anonymization.
Clients may request that we remove their name/logo from our marketing materials and/or anonymize project references at any time by contacting info@paracon.ca. We will make reasonable efforts to apply such requests within a reasonable time.
F) Website operations and improvement
We use personal information to:
operate, maintain, and improve the Site
analyze usage trends and performance (including via analytics tools)
troubleshoot issues and improve user experience
G) Security, fraud prevention, and legal compliance
We use personal information to:
protect the Site and Services (e.g., preventing abuse, spam, unauthorized access, or malicious activity)
enforce our terms and policies
comply with legal obligations and respond to lawful requests

8) Meeting recordings
How we record
When we record a meeting:
we do so only with attendee consent
we use recordings for purposes such as reviewing requirements, maintaining internal notes, training/quality purposes, and improving clarity on next steps
access to recordings is limited to people who need it for legitimate business purposes (for example, your project team)
Deletion requests
If you want a recording deleted, you can request deletion (see Section 10). We may retain limited information if required for legal, contractual, security, or legitimate business reasons.
9) International data transfers
Cross-border processing
Paracon is based in Canada, but some service providers may process or store information in other jurisdictions (commonly including the United States and other countries). This means your personal information may be subject to the laws of those jurisdictions, which may differ from the laws where you live.
Safeguards
Where appropriate and required, we take steps intended to support lawful transfers (for example, using contractual protections and limiting access where feasible).

what right you want to exercise (access, deletion, correction, etc.)
any helpful context (e.g., “newsletter,” “consultation booking,” “client portal,” “invoice payment,” “project inquiry form,” “portfolio/case study request”)
We may need to verify your identity before fulfilling requests.
11) Data retention
How long we keep information
We retain personal information only as long as necessary for the purposes described in this Privacy Policy, including:
responding to inquiries and maintaining business records
providing services and maintaining project history
operating the client portal and maintaining invoice/billing records
meeting legal, tax, or regulatory obligations
security, fraud prevention, and dispute resolution
Retention periods vary depending on the type of information. For example:
inquiry records may be kept for a reasonable period to support follow-up and business records
newsletter subscription records are kept until you unsubscribe (and we may keep minimal suppression records to ensure we honor your opt-out)
invoices and related billing records may be retained as required for accounting and tax purposes
meeting recordings, if created, are retained only as long as needed for the purpose they were recorded for, unless a longer retention is required for legitimate business or legal reasons
12) Security safeguards
How we protect information
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, misuse, and unauthorized access or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Not directed to children
Our Services are not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided personal information to us, contact us and we will take appropriate steps to address it.

Updates
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. The “Last updated” date at the top indicates when the policy was last revised.
